JOB TITLE: Office Administrator

GENERAL SUMMARY: Office Administrator includes a number of small responsibilities that sum up to general office operations for the organization. This includes supporting the President, event assistance, general operation and information data entry for website/app, database, and QuickBooks. This will be an hourly role with approximately 15 hours a week but may vary based on events.

JOB DUTIES  % Total Work 
Serves as assistant to the President (avg. 3.5 hours per week) 

  • Scheduling of meetings – staff and other key meetings 
  • Proofreading in a timely and accurate manner. 
  • Ensure President has supplies and materials for daily ops 
  • Available for general questions when President is remote 
  • Prepare regular reports for President 
  • Board assistance 
  • Coordinate meeting space, set up and tear down 
  • Coordinate Board minutes and Executive Team notes 
Event Assistance (avg. 4 hours per week) 

  • Work with staff and consultants to provide top-notch events 
  • Online registration set up and management (ChurchCenter) 
  • Coordination of details – bids, locations, banquet, supplies, lighting/sound, photos, video, etc. 
  • Day of event set up and tear down 
  • Lead in actual event operations and volunteers 
Website and App Input (avg. 2.5 hours per week) 

  • Maintain website information (WordPress), keeping it up to date 
  • Update information on the C3 Leaders app (SubSplash) 
  • Manage social media systems (Buffer) 
Gift Processing and Data Entry (avg. 1.5 hours per week) 

  • Process deposits and payments (online and offline) 
  • Processing and receipting of donations  
  • Collect and designate expense receipts from President 
General office operations (avg. 3.5 hours per week) 

  • Quality assurance of office operations  
  • Assist in providing “Superior Forum Chair Care” 
  • Manage calls and inquiries with professional, warm, boutique-level service  
  • Ensure that mission objectives and language are included in web and print presence  
  • Coordinate mailings, including building lists, coordinate printing, postage, material collation, etc. 
  • Schedule office use with C3 Forums and C3 Forum Chairs, including access  
  • Ensure operation of equipment, including scheduling maintenance and repairs  
  • Inventory management. Checking stock, anticipating needs, placing orders, verifying delivery  
  • Manage office requirements: insurance, security, memberships, calendar, cost reductions, etc.  
  • Personnel duties, including potential management of intern and setting up of new employees  
Work collaboratively with supervisors, coworkers, and donors.   
Perform other duties as assigned.   


SUPERVISORY RESPONSIBILITIES:  Possibly a part-time student intern

  • Education: Highschool Diploma or Equivalent Certificate 
  • Experience: None
  • Licensure/Certification: none
  • Software and Equipment Used: Microsoft Office 365 Suite.

  • Ability to Proofread documents and materials.
